Membership & Event Coordinator

The Empire State Society of Association Executives (ESSAE), organized in 1979, is a group of professional association executives employed by trade, business and professional associations. With more than 465 members, ESSAE advances the association profession through a community of knowledge, sharing, education and advocacy. This position involves working closely with the Executive Director on day to day association management, including internal office support, member services, programs & events, and communications & marketing.

Key Responsibilities

  • Membership Support
    • Serve as a liaison to the membership by building strong relationships with key contacts and assisting them as needed.
    • Maintain and ensure membership database is updated and accurate.

  • Programs & Events
    • Assist in site selection, negotiation, planning and management of events/programs.
    • Work closely with sales, banquet and related staff & vendors at meeting hotels and event venues.
    • On-site logistics, communications, registration, and sponsorship
    • Coordinate speakers, schedules, travel arrangements

  • Office Management
    • Management includes answering phones, general administrative duties, ordering supplies, and manage office equipment.

  • Marketing & Communications
    • Conceptualize and write communications in support of Society events and programs, including marketing collateral, sponsorship and advertising, member and event communications, web content, and social media updates.

Desired Strengths

  • Customer Service: The ability to understand the needs of member organizations and associations, and match them with the appropriate services and products to help them achieve their goals.

  • Marketing: Recognize the need for consistent, high quality messaging in every flyer, letter, email or brochure.

  • Tech Savvy: Understanding of how to use email applications and the internet are all required as well as proficiency with tools like PowerPoint, Publisher, Excel and Word. Preference given to individuals with knowledge of social media applications for business purposes.

  • Event Management: Understanding of how to manage events from small programs of 15 people to a tradeshow of 150 vendors and 200 attendees. Must have the ability to coordinate speakers, schedules, travel arrangements, venues and work well with host sites and convention facilities.

Level of Education & Experience

  • A Bachelor’s degree (BA, BS) or equivalent education, training and experience.
  • 3-5 years of industry experience; Experience with member associations preferred.
  • Strong computer, communications, planning, and organizational skills are a must.
  • Ability to learn and master new technology essential.
  • Experience with MemberClicks a plus.
  • Basic graphic design skills a plus.
  • Must be able to work effectively and autonomously in a small staff environment, managing multiple projects simultaneously with close attention to detail.
  • Ability to work professionally in business and social settings.
  • Must be able to lift 15 lbs. and stand for extended lengths of time.
  • Personable, flexible, creative, customer-focused, and a great sense of humor go a long way too.
